Note: The number of categories you can use depends on your plan. Basic plans support 2 categories, while Advanced and Enterprise plans support all 5.

Gmail Forwarding Setup

Step-by-step guide to forward Gmail emails to Aivaroq

Setup Instructions

  1. Open Gmail Settings
    Click the gear icon → Select "See all settings"
  2. Navigate to Forwarding
    Click the "Forwarding and POP/IMAP" tab
  3. Add Forwarding Address
    Click "Add a forwarding address"
    Enter: your-login-id@aivaroq.com
  4. Automatic Verification
    Gmail will send a confirmation email to Aivaroq
    ✓ We verify it automatically - wait 10-20 seconds
  5. Enable Forwarding
    Refresh the page, then select "Forward a copy of incoming mail to"
    Choose what to do with Gmail's copy (recommend: keep in Gmail)
  6. Save Changes
    Scroll down and click "Save Changes"

Filters (Optional)

You can create filters to forward only specific emails:

  1. Go to Gmail Settings → Filters and Blocked Addresses
  2. Create a new filter with your criteria (sender, subject, keywords)
  3. Check "Forward it to" and select your Aivaroq address
⚠️ Important: Make sure your Gmail account has enough storage. Gmail won't forward emails if your account is full.

Outlook Forwarding Setup

Configure email forwarding in Outlook/Microsoft 365

Outlook.com / Hotmail

  1. Open Settings
    Click the gear icon → "View all Outlook settings"
  2. Navigate to Forwarding
    Select "Mail" → "Forwarding"
  3. Enable Forwarding
    Check "Enable forwarding"
    Enter: your-login-id@aivaroq.com
  4. Choose Options
    Select "Keep a copy of forwarded messages" (recommended)
  5. Save
    Click "Save" at the bottom

Microsoft 365 (Business)

  1. Access Admin Center
    Go to admin.microsoft.com
  2. User Settings
    Users → Active users → Select user
  3. Mail Settings
    Mail tab → Manage email forwarding
  4. Configure Forwarding
    Turn on forwarding
    Enter: your-login-id@aivaroq.com
  5. Apply
    Save changes

Yahoo Mail Forwarding Setup

Forward Yahoo emails to Aivaroq

  1. Open Yahoo Settings
    Click the Settings icon → "More Settings"
  2. Navigate to Mailboxes
    Select "Mailboxes" from the left menu
  3. Select Mailbox
    Click your email address
  4. Add Forwarding
    Scroll to "Forwarding"
    Enter: your-login-id@aivaroq.com
  5. Automatic Verification
    Yahoo will send a verification link to Aivaroq
    ✓ We automatically process it for you
  6. Save
    Save your forwarding settings

⚠️ Note: Yahoo Mail Plus (paid) is required for email forwarding. Free Yahoo accounts don't support automatic forwarding.

Zoho Mail Forwarding Setup

Configure email forwarding in Zoho Mail

Zoho Mail (Personal & Business)

  1. Open Zoho Mail Settings
    Click the gear icon (Settings) in the top right
  2. Navigate to Mail Accounts
    Select "Mail Accounts" from the left sidebar
  3. Select Your Account
    Click on your email address
  4. Enable Forwarding
    Scroll to "Forwarding" section
    Click "Add Forwarding Address"
  5. Add Aivaroq Address
    Enter: your-login-id@aivaroq.com
    Click "Add"
  6. Automatic Verification
    Zoho will send a verification email to Aivaroq
    ✓ We automatically verify it for you
  7. Configure Forwarding
    Once verified, check "Forward incoming emails to"
    Select your Aivaroq address
  8. Save Settings
    Click "Save" to activate forwarding

Optional Settings

  • Keep a copy: Enable "Keep a copy of forwarded emails" to maintain emails in Zoho
  • Filters: Set up filters to forward only specific emails based on sender or subject
💡 Business Accounts: Zoho Mail Business users may need admin approval for external forwarding. Contact your admin if forwarding option is not available.

Custom Domain Setup

Forward emails from your own domain to Aivaroq

cPanel / Hosting Control Panel

  1. Access Email Settings
    Log into your hosting control panel
  2. Email Forwarders
    Find "Email Forwarders" or "Email Forwarding"
  3. Add Forwarder
    Source: your@yourdomain.com
    Destination: your-login-id@aivaroq.com
  4. Save
    No verification needed - starts working immediately

Cloudflare Email Routing

  1. Cloudflare Dashboard
    Select your domain → Email Routing
  2. Add Route
    Create custom address
    Forward to: your-login-id@aivaroq.com
  3. Automatic Verification
    If Cloudflare requires verification, we handle it automatically

Dashboard & Access

Understanding your Aivaroq dashboard and secure access

Accessing Your Dashboard

After signing up, you'll receive a welcome email with two ways to access your dashboard:

1. Direct Access Link (First 24 Hours)

Your welcome email includes a secure, one-time access link that works for 24 hours. Simply click the link to instantly access your dashboard - no login required for the first time.

2. Login ID (Ongoing Access)

Your unique Login ID is provided in your welcome email. This is your permanent credential for accessing the dashboard after the first 24 hours.

  • Secure - Only you have access to it
  • Never expires - Use it permanently
  • Keep it safe - Required for all future logins

Dashboard Overview

Your dashboard displays:

  • Email Statistics - Total emails processed, accuracy rate, response time
  • Category Breakdown - Visual distribution of email types
  • Recent Emails - Latest processed emails with status
  • Quota Usage - Daily email limit and remaining capacity
  • Plan Information - Current subscription and renewal date

Quota Management

Your daily email quota depends on your plan:

  • Basic Plan: 200 emails/day
  • Pro Plan: 500 emails/day
  • Advanced Plan: 1500 emails/day
  • Enterprise Plan: Custom limits
💡 Quota Reset: Daily quotas reset at midnight UTC. If you need more capacity, you can upgrade your plan anytime from the dashboard.

How to review and edit AI-generated email responses

Accessing Drafts

  1. Dashboard View
    Emails with "Draft Ready" status can be edited
  2. Click "Edit Draft"
    Opens the draft editor at drafts.aivaroq.com
  3. Review Content
    Read the AI-generated response

Draft Editor Features

  • Full Text Editing - Modify any part of the response
  • Subject Line - Edit the email subject if needed
  • Recipient Info - View who the email is going to
  • Preview Mode - See how the email will look

Actions

Once you've reviewed a draft:

  • Send Now - Approve and send the email immediately
  • Save Changes - Save your edits for later
  • Discard - Delete the draft if not needed

Troubleshooting

Solutions to common issues

Forwarded Emails Not Appearing

Possible Causes:

  • Forwarding not enabled in your email provider
  • Emails going to spam at provider level
  • Incorrect Aivaroq email address entered

Solutions:

  1. Double-check forwarding is enabled in your email settings
  2. Verify you entered the correct address: your-login-id@aivaroq.com
  3. Wait 2-3 minutes for initial setup to complete
  4. Send a test email to yourself to verify forwarding works
Note: Verification is automatic for all providers (Gmail, Outlook, Yahoo, Zoho). If forwarding still doesn't work after 5 minutes, contact support.

Quota Exceeded

If you've reached your daily email limit:

  • Wait for reset - Quotas reset at midnight UTC
  • Upgrade plan - Get a higher daily limit immediately
  • Filter emails - Forward only priority emails using filters

Draft Not Generating

If an email shows "Processing" for more than 30 seconds:

  1. Refresh your dashboard (click the Refresh button)
  2. Check your internet connection
  3. Wait 1-2 minutes and check again
  4. If still processing, contact support with the email ID

Login Issues

Can't access your account?

  • Verify you're using the correct Login ID from your welcome email
  • Check if the 24-hour direct access link has expired
  • Clear browser cache and cookies
  • Try a different browser
  • Contact support for account recovery if Login ID is lost

Email Categorization Incorrect

If an email is mis-categorized:

  • This is rare (~5% of cases) due to our 94-96% accuracy
  • Edit the draft to correct the response
  • Our AI learns and improves over time
  • Report persistent issues to support

Can I use Aivaroq with multiple email addresses?

Yes! Each plan supports one Aivaroq email address, but you can forward multiple personal/business emails to it.

How accurate is the AI categorization?

Our AI maintains 92-96% accuracy across different email categories. You can always edit drafts before sending.

Do I need to manually verify email forwarding?

No! Aivaroq automatically handles verification for Gmail, Outlook, Yahoo, Zoho, and most custom domains. You don't need to click any confirmation links or enter codes.

What happens if I exceed my daily quota?

Additional emails will be queued until your quota resets at midnight UTC, or you can upgrade your plan for immediate processing.

Can I cancel anytime?

Yes, there are no long-term contracts. You can cancel your subscription at any time from your dashboard.

Do you support attachments?

Yes, we process email attachments including document scanning (OCR) for text extraction.

How long are emails stored?

Processed emails and drafts are stored for 30 days, after which they're automatically deleted for security.

Can I customize the AI responses?

Yes! You can edit any AI-generated draft before sending. We're also working on custom response templates.

What email providers are supported?

Gmail, Outlook/Microsoft 365, Yahoo Mail Plus, Zoho Mail, and any custom domain with email forwarding capabilities. Verification is automatic for all.

What if I lose my Login ID?
